The Asian Law Students' Association (Auckland) ("ALSA," "we," "us," "our") respects your privacy. This policy explains what information we collect, why we collect it, how we use it, and your rights under the Privacy Act 2020 (NZ).
By becoming a member, subscribing to our newsletter, or otherwise providing your information to us, you agree to the terms of this Privacy Policy.
1. Information We Collect
We collect the following information directly from you when you sign up for membership through our website:
- First and last name
- Personal email address
- University email address
- Student ID and UPI
- Asian heritage region (self-identified, optional categories)
- Degree of study and year level
- Areas of legal interest
- Preferences for engagement with ALSA
- LinkedIn profile URL (optional, where provided)
- Any optional comments or referral information you provide
- Consent confirmation
If you purchase an ALSA Member Sticker by bank transfer, we will see your bank reference (which is your UPI) in our account records. If you pay by card through our payment processor, that processor will collect payment details on our behalf in accordance with their own privacy policies.
2. Why We Collect This Information
We use your information to:
- Process your membership application and maintain our member register
- Send you newsletters, event invitations, and ALSA updates
- Pair you with mentors or programme participants where applicable
- Verify your eligibility for member-only events, discounts, or sponsor offers
- Respond to your enquiries and feedback
- Report aggregate (non-identifying) membership statistics to sponsors, partners, and the university
3. Who We Share Your Information With
We do not sell your information to anyone. We share limited information only in the following circumstances:
- Mentors and program participants: If you opt into the mentoring programme, we may share relevant profile information with your assigned mentor or mentee, such as your name, year level or role, areas of interest, preferred meeting format, and any preferences you have chosen to disclose.
- Sponsors and partner firms: We may share aggregate membership data (such as total numbers, year level distribution, or degree breakdown) but never individual details, unless you explicitly consent.
- Service providers: We use Google Workspace (Forms, Sheets, Gmail) and other reputable platforms to store and manage member data. These providers operate under their own privacy and security policies.
- Legal requirements: We may disclose information if required by law, by court order, or to protect the safety of our members or the public.
4. How Long We Keep Your Information
We retain your information for as long as you remain an ALSA member, and for up to two years after your final year of study or after you withdraw your membership, whichever is later. After that, your information is permanently deleted, except where retention is required for legitimate operational or legal reasons (such as tax records for sticker purchases).
5. How We Protect Your Information
Your information is stored in Google Workspace accounts that are accessible only to authorised members of the ALSA executive team. We use two-factor authentication on all administrative accounts and follow reasonable measures to prevent unauthorised access, loss, or misuse of your information.
No system is perfectly secure. If a privacy breach occurs that is likely to cause serious harm, we will notify affected individuals and the Office of the Privacy Commissioner as required under the Privacy Act 2020.
6. Your Rights
Under the Privacy Act 2020, you have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate or incomplete information
- Withdraw your consent to receiving communications at any time
- Request deletion of your personal information (subject to operational and legal requirements)

7. Cookies and Website Analytics
We use Google Analytics to understand how visitors use this website, such as which pages are viewed and how people arrive here. Google Analytics sets cookies and collects information including your approximate location, device and browser type, and the pages you visit. This data is aggregated and is used only to improve the website and our programmes. We have configured Google Analytics to anonymise your data, and we do not use it to identify you personally.
You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on, or by blocking cookies in your browser settings. Google's handling of this data is governed by its own Privacy Policy.
8. Changes to This Policy
We may update this policy from time to time. Material changes will be communicated through our newsletter and on this page. The "Last updated" date at the top of this page indicates when this policy was most recently revised.
9. Photography and Videography
ALSA events may be photographed or filmed for use in our newsletter, social media, website, and promotional materials. When you become an ALSA member, you acknowledge this and consent to your likeness being captured and used in this way at any ALSA event you attend. This consent is given at the point of membership sign-up and does not need to be obtained again at each event.
If you do not wish to be photographed or filmed at a particular event, notify a member of the ALSA executive team at the start of that event. We will make reasonable efforts to accommodate your request.
If you wish to have a published image of yourself removed from ALSA's materials after the event, contact us at Enquiries@alsaauckland.org and we will action your request promptly.
